This Privacy Policy describes how My Hotel Board ("we", "our", or "the Service") collects, uses, and shares information when you use our web platform. It applies to both hospitality accommodation managers ("Administrators") and their staying guests ("Guests").

By using the Service, you consent to the collection and use of information in accordance with this policy. We commit to protecting your privacy and handling data in compliance with applicable data protection regulations (including GDPR where applicable).


1. Information We Collect

For Administrators: To create and manage your digital board, we store operational data such as your accommodation name, logo URL, text configuration details (WiFi network, breakfast information, custom notes), geographic coordinates, and your access credentials (encrypted pass codes).

For Guests: We do not require guests to register a personal account, provide an email address, or input personal identifiers to view a board. Guests only provide the temporary "Hotel Code" to authenticate access.

2. How We Use the Information

We process and use the stored data solely to provide, run, and optimize the core features of the digital notice board. This includes displaying your custom content to your authenticated guests, handling dynamic map locations, and fetching localized weather forecast widgets based on your preconfigured city.

3. Data Storage and Infrastructure

Our application's data layer is hosted and secured utilizing Firebase Firestore (Google Cloud Infrastructure). All structural parameters, layout preferences, and credentials are securely stored within this database environment to ensure cross-device synchronization and high availability.

4. Third-Party Services

To deliver an interactive user interface, our application interfaces with external third-party components. These include Leaflet and OpenStreetMap for spatial map generation, and Weatherwidget.io for real-time weather reports. These third-party providers may process technical data (such as your IP address) in accordance with their own respective privacy standards.

5. Data Retention

Information configured by the Administrator remains active in our cloud database for the entire duration of the service agreement. Once the account's validity threshold is reached or a formal account closure request is processed, all associated data, configurations, and custom board metrics will be permanently deleted from our live production database.

6. Security of Your Data

The security of your data is highly important to us. We employ standard technical and administrative safeguards designed to protect your configuration files from unauthorized access, modification, or disclosure. However, please remember that no method of transmission over the internet or cloud storage layer is entirely infallible.

7. Administrator Obligations

Administrators are strictly instructed and obligated not to insert any sensitive, identifiable personal data belonging to their guests (such as guest full names, passport numbers, personal phone numbers, or private payment notes) within the open text fields or custom note configurations. The service is strictly intended for general, non-personally identifiable hospitality logistics.
